What the QBO file contains
A QBO file is an OFX bank-statement file with an Intuit identification line added to the header. ConvertStatement writes OFX 1.0.2 in SGML form, one account per file, with one transaction record per statement row.
| Field in the file | Value ConvertStatement writes | Note |
|---|---|---|
| Header | INTU.BID:00000 | Intuit bank-ID line that makes the OFX file a QBO file |
| TRNTYPE | DEBIT or CREDIT | From the sign of the transaction |
| DTPOSTED | YYYYMMDD | The transaction date, without separators |
| TRNAMT | -89.47 | Signed amount with two decimals; debits negative |
| FITID | generated | Date + row position + a hash of description and amount |
| NAME | first 32 characters | Longer descriptions are truncated to 32 characters |
| CURDEF | statement currency | USD, GBP, EUR, CAD, as the parser read it |
| BANKACCTFROM | checking-type account | Generic bank ID; account number is the masked one from the statement, or 0000 |
| LEDGERBAL | closing balance | Taken from the statement, dated at the period end |
Encoding follows currency: USD files use the legacy USASCII / 1252 header that US accounting software expects, and all other currencies use UTF-8 so accents and umlauts survive.
How to import a bank statement PDF into QuickBooks as QBO
- 01
Convert the PDF to QBO here
Upload the statement PDF above, review the preview table, then choose QBO and download the .qbo file. Previewing does not use pages; the download does.
- 02
Open the bank-transaction upload in QuickBooks
In QuickBooks Online, go to the Banking page and choose the option to upload transactions from a file; the exact button label changes between QuickBooks releases. In QuickBooks Desktop the equivalent is a Web Connect import of a .qbo file.
- 03
Pick the QuickBooks account and import
Select the .qbo file and choose which account in your books should receive the transactions. QuickBooks then shows them in its review queue, where you categorise and accept them as with any bank feed.
- 04
Reconcile against the statement
The file carries the closing balance from the PDF. After accepting the rows, reconcile the account against the same statement as usual.
PDF to QBO at a glance
ConvertStatement's PDF to QBO converter turns a text-based bank statement PDF into a .qbo file for QuickBooks. The file is OFX 1.0.2 with an INTU.BID header line, one account per file, and one STMTTRN record per transaction carrying a DEBIT or CREDIT type, a YYYYMMDD date, a signed amount and a generated transaction ID. Descriptions are truncated to 32 characters, USD files use USASCII 1252 encoding and other currencies use UTF-8. It reads statements from 16 banks in the US, Canada, the UK and Europe. You can preview every transaction first, convert 10 pages without an account or 50 pages per month with a free account, and the PDF is processed in memory and not stored by default. It does not connect to your bank or categorise anything: it converts the statement you upload row for row, and the QBO download is available on every plan. The same upload also exports CSV, Excel and OFX.
Limits worth knowing before you import
Descriptions are cut to 32 characters in the NAME field. If a long payee name matters for your matching rules, use the CSV export, which keeps the full text, or keep the PDF for reference.
The file always describes a checking-type account with a generic bank ID, including when the PDF is a credit card statement. If QuickBooks complains about the account type or refuses the bank ID, import the CSV export through QuickBooks' file import instead. Desktop in particular can be stricter than Online about the bank identification in a QBO file, and we have not verified every QuickBooks release.
Do not import overlapping date ranges. QuickBooks de-duplicates on the transaction ID, and the ID here includes the row's position in the statement, so the same payment appearing in two overlapping statements gets two different IDs and can be imported twice.
QBO, CSV or OFX: which one to download
Choose QBO when the destination is QuickBooks and you want transactions to arrive as a reviewable bank feed. Choose CSV when you want to edit rows first, keep full descriptions, or load another accounting tool such as Xero through its column-mapping import. Choose OFX for Quicken and other software that reads Open Financial Exchange; the OFX download is the same file without the Intuit header line.
What it cannot do
It needs a text-based PDF from your bank; a scan or a photo has no text for the parser. It does not connect to your bank or pull transactions live, and it does not categorise transactions for you. It converts the statement you give it, row for row.

Frequently asked questions
How do I convert a PDF bank statement to QBO?
Upload the statement PDF on this page, check the preview, choose QBO and download the .qbo file. Then upload that file through the bank-transaction upload in QuickBooks.
How do I import a bank statement into QuickBooks?
Convert the PDF to QBO, open the transaction upload in QuickBooks Online (Banking page) or a Web Connect import in QuickBooks Desktop, pick the destination account and accept the transactions in the review queue. If QuickBooks rejects the QBO file, import the CSV version instead.
Why are my descriptions shortened in QuickBooks?
The NAME field in the QBO file is limited to 32 characters here, so longer descriptions are cut. The CSV export keeps the full description text.
Can I import the same statement twice without duplicates?
Re-importing the identical file generates the same transaction IDs, which QuickBooks can match. Overlapping statements are different: the ID includes the row position, so the same payment in two statements can be imported twice. Avoid overlapping date ranges.
Does the QBO file work for credit card statements?
The file is always written as a checking-type account. If QuickBooks objects to that for a credit card account, use the CSV export instead.
What is the difference between QBO and OFX?
QBO is OFX plus an Intuit identification line in the header, which is what QuickBooks looks for. The OFX download omits that line and suits Quicken and other OFX-compatible software.
Is converting to QBO free?
You can convert 10 pages without an account and 50 pages per month on a free account, and every plan includes QBO along with CSV, Excel and OFX. Previewing does not use pages.
