Convert Bank Statement to Excel

Turn a bank statement PDF into an Excel workbook you can sort, filter and pivot. Upload the PDF below, check the preview, download the .xlsx. Statements from 16 US, Canadian, UK and European banks are read by a dedicated parser each, and your file is processed in memory rather than stored.

What is inside the Excel file

Every conversion produces one workbook with a single worksheet named Transactions. The first row holds bold column headers on a light grey fill, followed by one row per transaction in the order the statement prints them.

What is inside the Excel file
ColumnIllustrative valueHow it is written
Date2026-03-03A real Excel date (not text), shown as yyyy-mm-dd, so it sorts, filters and groups by month or year straight away
DescriptionAMAZON PURCHASEThe merchant or payment text as printed on the statement
Amount-89.47A real number, not text. Debits are negative, credits positive; displayed as #,##0.00
TypedebitEither "debit" or "credit", matching the sign of Amount
Balance5,030.71The running balance when the statement prints one; blank when it does not

Under the transactions, a short summary block records the bank, the masked account number when the parser finds one, the statement period and the transaction count. The values in the middle column are illustrative, not taken from a real statement.

How to convert a bank statement PDF to Excel

  1. 01

Get the statement as a PDF from your bank

Download the statement PDF from your online banking, usually under a Statements or Documents area. Use the file the bank generated rather than a screenshot or a phone photo: the converter reads the text stored inside the PDF.

  2. 02

    Upload it above

Drop the file on the upload box at the top of this page (up to 20 MB). ConvertStatement recognises the bank from the text in the PDF and picks the matching parser, so there is no bank menu to choose from.

  3. 03

Check the preview before you download

All extracted transactions show in a table first, and previewing does not use up your page allowance. Compare the first and last rows with the PDF. The result is also reconciled against the opening and closing balance printed on the statement.

  4. 04

    Download the Excel (XLSX) file

Choose Excel and download. Only downloads count against your allowance: 10 pages without an account, 50 pages a month on a free account.

Bank statement to Excel at a glance

ConvertStatement's bank statement to Excel converter turns a text-based PDF statement into an .xlsx workbook with five columns: Date, Description, Amount, Type and Balance. It reads statements from 16 banks in the US, Canada, the UK and Europe with one dedicated rule-based parser per bank, so the same PDF always produces the same spreadsheet. Amounts are stored as numbers with debits negative, dates are stored as real Excel dates shown as yyyy-mm-dd, and a summary block below the transactions records the bank, the statement period and the transaction count. Previewing does not use page allowance. Visitors can convert 10 pages without signing up, and a free account includes 50 pages per month. Files are processed in memory and are not stored by default. The same upload also exports CSV, OFX and QBO, so one conversion covers Excel, Google Sheets and accounting software.

Getting the most out of the workbook

Because Amount is stored as a number with debits negative, SUM, SUMIFS and pivot tables work straight away: a pivot on the Type column gives total money in and total money out, and a SUMIFS on Description keywords gives a quick category view.

Dates are stored as true Excel dates, displayed as 2026-03-03, so date arithmetic, a pivot grouped by month and a filter on a date range work without converting anything. Change the display with Format Cells if you prefer another style; the underlying value does not change.

To combine several months, convert each statement and paste the rows into one sheet. Keep the original statement order within each month: the Balance column then still reads as a running balance, which makes gaps between months easy to spot.

When your bank already offers an Excel or CSV download

Many banks let you download recent transactions as CSV or Excel from online banking, often limited to a recent window or a maximum number of rows, and the limits differ from bank to bank. If your bank offers that export for the period you need, it is the simplest route and you do not need a converter at all.

A PDF converter earns its place when the period is older than the bank's export window, when the bank only issues PDF statements for an account type, or when somebody else sends you the PDFs: a client, a tax preparer, a landlord or a lender.

Excel has its own PDF importer (Data > Get Data > From File > From PDF in recent Microsoft 365 builds). It returns whatever tables it detects, so you still clean up repeated headers, descriptions that wrap onto a second line and the sign convention yourself.

What it cannot read

ConvertStatement reads text-based PDFs, the kind you download from online banking. A scan or a photo of a paper statement has no text layer, so the rule-based parsers cannot read it and you will see an unreadable-PDF message.

If your bank is not in the list below, signed-in users can try the self-hosted AI extraction (beta). It only returns a result when the extracted transactions pass the same balance check as the rule-based parsers. You can also request the bank from any bank page.

Banks supported for Excel export (16)

Each bank has its own parser, because each prints its statement differently. The table shows what the parser reads; the Excel file always uses ISO dates and numeric amounts regardless of the bank.

Frequently asked questions

How do I convert a bank statement PDF to Excel?

Download the statement PDF from your bank, upload it on this page, check the transaction preview, then choose Excel (XLSX) and download the workbook. The bank is detected automatically from the PDF text, so there is nothing to configure.

Can I convert a bank statement to Excel for free?

Yes, within limits. You can convert 10 pages without an account and 50 pages per month on a free account, and previewing the result does not use pages. Paid plans start at $9 per month for 300 pages. Every plan includes all four export formats.

Are the dates in the Excel file real dates?

Yes. The Date column holds true Excel dates formatted as yyyy-mm-dd, so sorting, filters and pivot grouping by month or year work immediately. In the CSV export, by contrast, dates are plain YYYY-MM-DD text.

Can I just copy and paste a PDF bank statement into Excel?

You can, but pasted text often collapses columns, splits descriptions that wrap onto two lines into separate rows, and loses which amounts are debits. A converter that knows the bank's layout keeps one row per transaction with a signed amount.

Does it work on a scanned or photographed statement?

No. The parsers read the text layer of a PDF downloaded from online banking. A scan or photo has no text layer and returns an unreadable-PDF message. Download the PDF from your bank instead.

Is it safe to upload my bank statement?

By default the file is processed in memory and nothing is stored, logged or shared. The one exception is opt-in: if a conversion fails you may choose to share a redacted skeleton of the statement to help add support, and it is deleted within 30 days. Transfers use HTTPS.

What if my bank is not supported?

Request it from any bank page. Signed-in users can also try the self-hosted AI extraction (beta), which only delivers a result when it passes the balance check.
